If you've hired a virtual assistant in the Philippines, Malaysia, Indonesia, or anywhere else, the difference between a productive working relationship and a frustrating one usually comes down to your tools. Time zones, async communication, file sharing, payments, and accountability all become harder when you can't walk over to someone's desk. The right stack solves most of these problems before they become problems.

Zoom

It supports video calls, screen sharing, and meeting recordings, which is particularly useful when you need to show your VA how to complete a task rather than writing out lengthy instructions.

Practical Tip: Record your onboarding and training calls and store them somewhere your VA can access later. It reduces the back-and-forth when they need a refresher, and it creates a library of internal training material over time.

Loom

Loom is a screen-recording tool that lets you record your screen and camera simultaneously, then share the video via a link.  Instead of writing out a multi-paragraph brief, you can record a two-minute walkthrough and send the link. Your VA can watch it on their own schedule, rewind if needed, and get started immediately. It saves you time, reduces misunderstanding, and feels far more personal than a wall of text.

Project and Task Management Tools

One of the most common frustrations business owners have with remote VAs is not knowing what they are working on. That lack of visibility can create animosity and distrust between your working relationship with your remote team. To solve this issue, you must have the right task and project management tools to have a real-time view of priorities and progress.

Trello

ClickUp

ClickUp is worth considering if you want to consolidate multiple tools into one platform. It combines task management, time tracking, document storage, and goal tracking under a single dashboard. It reduces the number of subscriptions you manage and keeps everything your VA needs in one place.

It does have a steeper learning curve than Trello, so factor that into your onboarding plan if you go this route. But once your VA is comfortable in ClickUp, the level of visibility and control it gives you over your remote team is hard to match.

Notion

Notion is best thought of as your shared operating system. It provides a flexible workspace where you can store your SOPs (standard operating procedures), meeting notes, project wikis, and task databases all in one place. If you want your VA to work with minimal hand-holding, giving them access to a well-organized Notion workspace is one of the highest-leverage things you can do. They can find answers, review processes, and understand your business without needing to interrupt you with basic questions.

Time Tracking, Payroll, and Leave Management

This is the category where a consolidated platform usually beats stitching tools together. The traditional approach is to use separate tools for time tracking (Toggl), payments (Wise), and leave management (a spreadsheet). That works for one VA but gets messy quickly when you scale.

A note on this: many remote workers find screenshot monitoring uncomfortable, and some interpret it as surveillance rather than verification. If you're using Hubstaff, be upfront with your VA about exactly what's tracked, why, and how the data is used. For most VA arrangements, simpler tools are sufficient. Hubstaff makes more sense for larger teams or arrangements where you've previously had reliability issues.

File Storage and Collaboration Tools

When you are working with a VA on the other side of the world, file management becomes critical. Important documents get created, revised, and referenced constantly. Dropbox is a strong alternative, particularly for sharing large files or managing a more structured folder system with tiered access permissions. If your business handles sensitive client documents or creative assets, Dropbox’s sharing controls allow you to give your VA access only to what they need.

Microsoft OneDrive and SharePoint

If your business runs on Microsoft 365, your VA will need access to OneDrive and potentially SharePoint. Both are standard tools that VAs from the Philippines, Malaysia, and Indonesia are generally familiar with. SharePoint in particular is useful for larger businesses that need a centralized internal portal for processes, documentation, and team resources.

Payment Tools

International payments come with friction: processing delays, exchange rate spreads, and transfer fees that reduce what your VA actually receives. The tool you use directly affects how much of your spend reaches your VA, and how much administrative load you take on.

PayPal

PayPal is widely accepted and familiar to most VAs in Southeast Asia. Your VA can invoice you directly through the platform. The downside is that exchange rates and fees are less favorable than Wise, so your VA receives less of what you send. Common as a backup rather than a primary payment method.

How to Set Up Your VA for Success from Day One

Part of the onboarding process for your new VA is to introduce them to the tools you’re currently using. Here is a practical onboarding approach:

  1. Start with two or three core tools, not everything at once. Introduce Slack for communication, a task management tool like Trello or Asana, and Google Drive for files. Once these are established, layer in additional tools as the workflow demands.
  2. Create a short onboarding document or Notion page that explains how your systems work, which channel to use for which type of message, how tasks are structured, where to find files, and how to log time.
  3. Record a Loom video walking your VA through your setup. This takes 10 to 15 minutes on your end and saves hours of back-and-forth during the first few weeks.
  4. Set expectations around communication. Tell your VA how often you expect updates, which hours you are available for a live call, and how long they should wait before escalating an issue.
